Receptionist
About the Role
Utopia is at a pivotal moment in its journey. We have received Arts Council England National Portfolio Organisation status. We are looking for a Receptionist. The role is fast-paced and varied, designed to administratively support the Chief Executive / Artistic Director. There is also scope to get heavily involved in the company and support its plans. This role requires energy, enthusiasm, a proactive attitude, and attention to detail.
Job Specification
- Being the first point of contact for and greeting all visitors to the Hub, including the general public, project participants, young people (Youth Academy) and visitors.
- Ensuring all visitors sign-in
- Signpost general enquiries appropriately and have a general knowledge of Utopia work and projects
- Provide general administrative support to the Chief Executive/ Artistic Director including answering phones
- Managing parcel deliveries to the Hub and handling outgoing mail where required
- Support the Volunteer Receptionist(s)
- Organise the reception area and keep it tidy
- Ensure Hub refreshments are stocked and purchase supplies when required
- Maintain the filing systems (including an up-to-date list of contacts) on behalf of the Chief Executive/ Artistic Director
- Supporting the Executive Assistant, to organise and book meeting rooms as necessary
- Support the team to setup for events/workshops and clean areas once finished
- Set the venue up as specified in the booking agreement, ensuring adequate seating and that all rooms are clean, clearly marked and well organised
- Ensure equipment that guests need is available and easily accessible
- Explain Health and Safety requirements for the venue
- Attend internal meetings as required
- Answer phones and email enquiries as part of the general administration line
- Be the first point of contact, supported by the Executive Assistant, for venue enquiries
- As part of the team, support Utopia volunteers including the induction process
- To undertake such other reasonable duties as may from time to time be required in support of the Creative Hub activities
- Contribute towards Utopia Theatre’s Equality, Access, and Diversity policies.
Person Specification
- Demonstrable experience in an administration support role
- Experience of working in a busy office environment
- Good administrative skills
- Strong verbal communication skills with the ability to engage with a wide range of personalities and backgrounds
- Proficient IT user, including Microsoft Office and Google Packages
- Ability to work independently but also as part of a team
- Ability to work in a fast paced, energetic, and demanding environment
Desirable skills
- Knowledge and experience of Sheffield would be desirable
- Positive and can-do attitude, creative, flexible and enthusiastic, with a commitment to excellence and professionalism
- An interest in and enthusiasm for theatre
- Friendly, efficient, and helpful attitude
- Enthusiasm and support for Utopia Theatre’s vision and growth

£23,000 per annum -
